Who we are

One Love Family Services is a non-profit corporation in Ontario that serves families across the Greater Toronto Area. In this policy, “we” and “us” mean One Love Family Services, including our directors and volunteers.

This policy covers our website, our forms, our phone and WhatsApp lines, and our events. We follow Canada’s fair information principles: we are open about what we collect, we ask for your consent, we collect only what we need, and we protect it.

What we collect and why

What we collect depends on how you connect with us.

Families asking for food assistance

What: Your name, phone number, delivery address, household size, and any cultural, religious, or dietary needs you choose to share. You can reach us by phone, on WhatsApp, or by email.

Why: To plan your hamper and get it to you.

Donors

What: When you give online, Donorbox collects your name, email, billing address, and gift details. Your card or bank details go straight to Donorbox’s secure payment processors. We never see your full card number. If you send an e-transfer, we see the name, email, and amount your bank shares with us.

Why: To process your gift, send your receipt, say thank you, and keep accurate financial records.

Volunteers and partners

What: Your name, contact details, availability, and the skills or interests you tell us about, usually through a Google Form or email.

Why: To match you with packing days, deliveries, and events, and to keep in touch.

Anyone who contacts us

What: Whatever you include when you email, call, or message us, including Golden Series interest.

Why: To reply to you and follow up on your request.

Website visitors

What: Our website does not ask you for anything. Like every website, it receives basic technical information such as your IP address and browser type when a page loads.

Why: To deliver pages securely and protect the site from abuse.

Event guests

What: We take photos and videos at our events and may share them on this website and our social media.

Why: To celebrate our community and show supporters their impact. If you would rather not appear, tell a team member on the day, or ask us to remove a photo at any time.

How we use it

We use your information only for the reasons above, and to meet our legal and accounting duties.

When we report to funders or share our impact, we use overall numbers only, such as how many families we served in a month. We never include names or other details that could identify you.

If we ever want to use your information for something new, we will ask you first.

Who can see it

Only One Love directors, and the volunteers who need specific details to help you, can see your information. For example, a delivery driver sees the name, address, and phone number for their deliveries only.

We also rely on a few trusted services to run our work. They handle information for us and are not allowed to use it for their own purposes:

Some of these services store information outside Canada, including in the United States, where it may be subject to local laws.

We will only share your information with anyone else if the law requires it, or if someone’s safety is at risk.

How we keep it safe

We limit access to the people who need it, use trusted services that protect information with encryption, and keep paper records secure. Our website is served over a secure, encrypted connection.

No system is perfect. If something ever went wrong that affected your information, we would let you know.

How long we keep it

Donation and financial records
Six years after the end of the year they relate to, as the Canada Revenue Agency requires.
Family assistance records
While you receive support, and for up to six years after, in line with our record keeping. Then we delete them securely.
Volunteer and partner details
While you volunteer or work with us. We delete them when they are no longer needed.
Photos and videos
They may stay in our archive and published posts unless you ask us to remove them.

Your choices

You can ask us to:

  • See the information we hold about you
  • Correct anything that is wrong
  • Delete your information, unless the law requires us to keep it, as with donation records
  • Stop contacting you, or remove a photo of you

Email [email protected] or call (416) 823-1738. There is no cost, and we may ask a simple question to confirm it is really you.

Cookies and analytics

Our website does not set cookies of its own, and it shows no advertising.

We use Cloudflare Web Analytics to count visits. It does not use cookies and does not follow you across other websites.

On our Donate page, the donation form is provided by Donorbox, which may use its own cookies to process your gift securely.

Links to our social media, maps, and messaging apps take you to other websites with their own privacy policies.

Changes to this policy

If we change how we handle information, we will update this page and the date at the top. Our forms are meant for adults. Parents and guardians share information on behalf of their children.
